PRACTICAL FIELDNOTE / SEPTEMBER 2026

Pre-send email checklist: a repeatable test protocol

A checklist should produce a decision, not just a row of ticks. Use this protocol before an important campaign and adapt it to the risk and controls of your own team.

Write the send decision first

State the campaign purpose, intended audience and responsible owner. Define what would stop the send: a wrong audience, broken unsubscribe route, unresolved authentication issue or incorrect content. These are editorial suggestions, not a universal compliance standard.

Review the campaign in four passes

Work from the recipient relationship to technical evidence. A technical pass does not override a failed audience or content review.

  • Audience: confirm recipients expect this type of message and the list is the intended one.
  • Identity: verify the visible sender, reply address and actual sending route.
  • Message: check links, essential information, plain-language claims and unsubscribe behavior.
  • Evidence: inspect a representative test, record warnings and decide who must resolve them.

Use a go/no-go record

Do not leave the final judgment scattered across chat messages. A short record makes the decision and follow-up visible.

RecordExample structure—not a real campaign result
BaselineTemplate version / route / date / owner.
IssueObserved symptom and the affected requirement.
ActionNamed owner and the change to verify.
RetestSame route, recorded change, new observation.
DecisionGo, hold, or limited follow-up with a stated reason.

Keep the post-send review separate

After sending, review operational and audience signals on their own terms. Do not rewrite the baseline to make the decision look better. If the outcome is unexpected, preserve the original evidence and investigate the difference between the test environment and the campaign.

A question worth asking

Should every campaign use a paid placement test?

Not necessarily. Choose checks according to the campaign’s risk, meaningful setup changes and the question you need answered. Do not buy a test merely to complete a checklist.

Sources and scope

Checked: Public documentation linked below and the decision framework described on this page.

Not independently tested: Product accuracy, paid account workflows, support or delivery outcomes.

Reader should verify: Current terms and suitability for the actual sending setup. Never change production DNS from a generic example.
